Our quick checklist to successfully preparing and running payroll

Prepare Payroll

Before you start running payroll, make sure the following items are complete. These steps ensure timecards, employee data, and pay rates are ready for import into Salaris.

  1. Approve all timecards in SocialSchedules

    1. Only timecards with a status of Approved can be imported into Salaris. Make sure each manager has reviewed and approved their team’s timecards.

  2. Check for blocking errors

    1. Confirm that all employees who need to be paid have no blocking errors in Salaris. These must be resolved before payroll can proceed.

    2. Examples of errors which may impact payroll are:

      • Missing primary workplace: Employees must have a primary workplace defined, as this affects which taxes are calculated.

      • Missing employee details: Employees must have a start date, date of birth, and residence set.

      • Incorrect or Missing SSN: An invalid or missing Social Security Number can block payroll processing and tax reporting.

      • Invalid Bank Account Details: If an employee's direct deposit information is incorrect, payments will fail.

  3. Verify employee position mappings

    1. Ensure each employee has their correct positions mapped and that every position has a valid base rate. Positions with a $0 rate will cause import issues.

Running Payroll

  1. Import approved timecards into Salaris

    1. Only approved timecards from SocialSchedules can be imported. Verify that all required employees are included.

  2. Review earnings and deductions

    1. Check each employee’s earnings, deductions, and any adjustments that affect their total pay.

  3. Add paid leave if applicable

    1. Enter any paid leave that should be included in this payroll period.

  4. Add other manual adjustments

    1. Include any additional pay items such as contractor payments, bonuses, or one-off allowances.

  5. Preview and approve totals

    1. Review payroll summaries carefully. Make sure gross pay, deductions, and employer costs look correct before final approval.

  6. Submit payroll before the cutoff time

    1. Payroll must be submitted by the cutoff date and time for that pay period.

  7. Confirm sufficient funds in the funding account

    1. Ensure your funding account has enough balance to cover all employee payments and taxes.

After completing this checklist, payroll can be submitted for processing.
