Payroll Statuses
A payroll in Salaris moves through the following statuses during its lifecycle:
Open:
Payrolls in Salaris are automatically created at the end of a pay period, it begins in Open status, allowing you to modify payments and preview totals.
Submitted:
Once a payroll is approved, it moves to Submitted status. If changes are needed before the reopen deadline, you can reopen the payroll to modify it.
Processing:
After the reopen deadline passes, the payroll moves to Processing status, indicating that Salaris has begun moving funds and no further changes can be made.
Paid:
Once all payments are successfully processed, the payroll moves to Paid status, indicating that employees have received their payments and the payroll is complete.
Partially Paid:
If one or more payments fail, the payroll moves to Partially Paid status. Any failed payments must be resolved before the payroll can be completed.
Failed:
If the employer’s funding transaction fails, the payroll moves to Failed status, and employee payments may be paused until the issue is resolved.
Pay Period Ends / Payroll is created
After a pay period ends, a payroll will automatically appear on the Payroll screen with a status of Open. It will indicate when the payroll must be approved by, and the payday. In the case of the scheduled payday being a weekend or holiday, both the payday and approval deadline will be automatically moved forward to the previous business day.
When a payroll is first opened, it will by empty by default.
Step 1: Approve Timecards
Log into your labor management tool (typically SocialSchedules or Workforce Management)
Timecards > Filter by dates for the current pay period
Approve timecards one by one or in bulk
Step 2: Import timecards and tips
Log into Salaris Payroll
Click Import payroll for the pay period you want to process.
no timecards? click ⋮ > View Payroll
When the import is complete, a confirmation message appears.
Add tips if applicable
Not seeing the add tips option? Check Tip Import settings

If changes are made to timecards after the initial import (including editing existing timecards, changing a timecard's status to Approved or adding a new timecard), these can still be brought into Salaris by clicking the ellipses > Reimport payroll. However, reimporting timecards will discard all information in the current payroll (including any manual adjustments) other than tips.
Step 3: Review payroll
Click Review payroll
View payroll window opens showing all employees/contractors included in the payroll along with their total amounts.
Click employee/contractor name, total, or the expand icon to view pay details
Make a one time change to the employee Payment Method (Direct Deposit or Manual)
Edit Earning items, Description, or Workplace
Update the Earning rate, Hours, or Amount
Add another earning using + New earning (for example, paid time off or commission payments)
Add workers who need non-timesheet payments, like salaried staff or contractors
Validate payroll details before submitting.
In SocialSchedules or Workforce, filter timecards to the correct pay period and confirm all timecards have been approved.
Compare employees with approved timecards to the employees included in the payroll in Salaris.
Spot-check a few employees:
Compare approved hours with the Hours shown in Salaris > Preview Payroll.
Compare position and pay rates in SocialSchedules/Workforce with Earning rates shown in Salaris.
If employees were added or had a position or rate change since the previous payroll, confirm their information is appearing correctly.
Review each employee’s total pay and confirm it looks correct based on their hours and earning rate.
Update general payroll details if needed
select the settings icon
. In the Settings window, you can update the Payday and Funding bank account. Select Save when done.
After making any changes, select Save Draft
⚠️ Holiday pay is included in the Overtime total on the payroll summary and pay stub — it is not shown as a separate line item.
Note that payroll can be reviewed and edited as many times as needed before the approval deadline.
Step 4: Submit payroll
When all edits are complete > click View payroll
Review payroll totals carefully
If you see an error or need to make a change, select Edit payroll. This returns you to the previous screen where you can update amounts, rates, or settings.
Once all details are correct, select Submit payroll.
A confirmation message appears when the payroll has been successfully submitted.
After submission, the payroll status changes to Submitted.
As the payroll has been submitted, changes can no longer be made unless the payroll is reopened. This can be done by clicking the Reopen payroll button.
Payrolls can be reopened up until the approval deadline.
Step 5: Make Manual Payments (if any)
Employee Payments
Payment Method = Direct Deposit: If an employee has chosen direct debit, no action is needed.
Payment Method = Manual: If an employee has chosen not to be paid via direct debit, the employer is responsible for paying the net pay to the employee directly. Typically this is done via cash, check, Zelle or printing checks.
'Paid' payrolls will remain on the Payroll screen for three days, and will then be accessible from the Payroll history page.
Employee paystubs
Employees will be able to access their paystubs via the SocialSchedules mobile app. No action is required from the company for this.
Should printed paystubs be required, these can be download directly from the payroll.
From the Payroll page, select the More options icon (three dots), then choose Download paystubs.
If a payroll has a status of Partially Paid, this indicates that one or more employee/contractor payments failed to process. The specific failed payments will be listed in the "Employee and Contractor Payments" section of the payroll. You can find more information about the failed payments, update bank account details if necessary, and retry the payment by clicking into the specific failed Payroll Item or Contractor Payment.
Funds processing
Once the approval deadline has passed, the status changes to Processing, indicating payroll details can no longer be edited remain available for viewing. From here, funds will be debited from the nominated company bank account and payments made to employees.
If a payroll has a status of failed, this means that the payroll funding was unsuccessful. This can happen for several reasons, such as insufficient funds in the employer's bank account, incorrect bank account details, or the employer's bank account not allowing outgoing debits. If this happens:
Any employee or contractor direct deposits that have not yet been processed will be held until the funding issue is resolved.
Tax payments will not be made to tax agencies, which could result in late payments, penalties, or tax liens.
The employer will be unable to approve any additional payrolls until the failed funding is resolved.
To resolve the failed funding, the payment should be retried via wire (recommended) or ACH). Once resolved, Salaris will release any incomplete direct deposit payments and release any tax payments.
Payroll Troubleshooting
Wrong Rate
If an employee (EE) rate isn't what you were expecting, in SocialSchedules/Workforce Management check that the job/position in the employee tab matches the job on the timecard
In Social Schedules > Network > Select Employee > Positions & Pay Rates
In Workforce > Employees > Select Employee > Jobs & Pay Rates
Error Submitting Payroll
If an employee is showing an error, in Salaris check that EE doesn't have red error on the employee tab;
start date and primary workplace are common errors
Change payment to manual on the payroll if EE hasn't completed their payroll profile in app.
View Upcoming Pay Schedules
Payrolls appear in Salaris after the pay period ends. For example, a June 1–7 pay period will appear on June 8.
To view upcoming payrolls for the next six months, select View pay schedule at the top of the screen in the Payroll tab.
