Form W-2 (Wage and Tax Statement) is used to report wages paid and taxes withheld from employees during a calendar year. Employers are required to distribute W-2s to:
Each employee
The Social Security Administration (SSA)
Relevant state and local tax agencies
Employees use Form W-2 to complete their personal tax returns, while the SSA uses it to credit earnings for benefits. The SSA also shares this information with the IRS.
Does Salaris issue W-2s to employees?
Yes.
Salaris automatically tracks and records wages and taxes throughout the year. At year-end:
Salaris files W-2s with the SSA and any applicable state agencies
A copy of each W-2 is made available to both employees and employers (see below).
How are W-2s issued?
Employees
Electronically
If an employee consents to receiving their W-2 electronically, a copy will be made available via the SocialSchedules mobile app under Payroll>Tax Documents.
W-2s from previous years (if applicable) will also be accessible from here.
Employees can choose to download and/or share their W-2s straight from the mobile app.
Via mail
If an employee does not consent to receiving their W-2 electronically, a paper copy will be mailed to their registered address once finalized.
This comes at a nominal cost to the Company as outlined here.
Employers cannot set this preference on behalf of employees. See this article on how employees can set their W-2 preference.
Employers
Employers can access individual employee W-2s from the employee profile at
Employees>Active>Employee Name>Tax Documents.
When are W-2s issued?
W-2s must be postmarked by January 31st each year. Electronic copies must also be made available on or before this date.
The Salaris Support Team will send detailed communications to customers in the lead-up to January 31st, detailing exactly when W-2s will be made available to employees/employers.
