How do I connect my Quickbooks Online account?
During onboarding with Salaris, there's a "Set up accounting" step where you can log in and authorize the connection to your Quickbooks Online account. Once you've authenticated, you'll finish setting up your chart of accounts and you're good to go.
What does the Quickbooks integration actually do for me?
Once connected, Salaris Payroll can automatically create journal entries in your Quickbooks Online general ledger every time you run payroll. That means your wages, taxes, benefits, reimbursements, and tips all show up correctly categorized in your books, without you having to enter anything manually.
Do I need to set anything up before it starts working?
Yes, one time. You'll map your payroll categories (like wages, employer taxes, and benefits) to the right accounts in your chart of accounts. This only needs to be done once, and we'll walk you through it. We recommend mapping every category, even ones you're not using yet, so you don't run into gaps later if your setup changes.
Will my payroll sync automatically, or do I have to do it manually?
You can turn on "auto-push," and every payroll will automatically post to your general ledger as soon as it moves into processing. If you'd rather stay in control, you can push each payroll manually instead.
Can I push a payroll to Quickbooks more than once?
You can, but be careful: pushing the same payroll a second time will create a second journal entry, and Salaris Payroll won't catch or block that duplicate for you. If you're pushing manually, it's worth keeping track of what's already been sent.
What date shows up on the journal entry?
The entry is dated to match when funds are actually pulled from your bank account for that payroll, so your books line up with your real cash movement.
Does this work with cash accounting or accrual accounting?
Salaris Payroll uses cash-basis accounting, which is what we recommend for most small businesses. It's the simplest to understand: one clean journal entry per payroll, tied to the actual money moving in and out of your account.
Can I customize how the journal entry is structured?
The standard journal entry format is fixed. If you need more detail or a different structure for your own bookkeeping, you can pull a full payroll journal report for any payroll run and build a custom entry from there.
What happens if I remove an account that's mapped to a category?
If an account gets deleted or unmapped, the next payroll push will fail until it's fixed. You'll get a notification pointing you back to the accounting setup so you can re-map that category. Nothing else is affected in the meantime.
What if my Quickbooks connection expires or I get logged out?
If your Quickbooks Online authentication expires, that payroll's push will fail and you'll get notified. Just reconnect your account, and all your existing category mappings will still be there. Nothing to redo.
Does this support multiple locations or departments?
Not yet. Right now the integration posts payroll at the company level, so it doesn't break out journal entries by individual location or department.
Can I only sync payroll that's run through Salaris Payroll?
Yes. Payroll that's managed and run through Salaris Payroll can sync to Quickbooks. Historical payroll data that wasn't run through Salaris Payroll isn't eligible to sync.
