Square Payroll: Extraction and Required Data Guide

Guide users to add Square payroll access, extract data, and format files for setup.

This guide walks you through how to grant access to Square, OR extract the required data, and format files so we can complete your setup successfully.

When migrating to Salaris Payroll, there are two options to migrate data. You may chose to:

  1. Grant access to our payroll administrators or

  2. Pull the required reports yourself

Option #1: Granting Access to Square

  1. Log into Square using Owner or Admin credentials.

  2. Go to Team on the Dashboard.

  3. Click Team Member.

  4. Create a new Team Member by entering the following details:

  5. Click Save.

  6. Go to the bottom-right and click Continue Setup.

  7. Under Permissions, click Enable Permissions.

  8. Under Primary job title, enter Accountant.

  9. Leave Pay Type as None.

  10. Click Finish Setup.

  11. Go to Select permission set.

  12. Create a new permission set.

  13. Enable Full access.

  14. Click Continue.

  15. Set Personal Passcode to 0000.

  16. Click Save.

Option #2: Square Data Extraction

  1. Historical Payrolls for Closed Quarters

    1. one for each quarter

  2. Historical Payrolls in Current Quarter

    1. one for each payroll

  3. Company Tax Information

  4. Tax Returns

1. Historical Payrolls for Closed Quarter

Please extract 1 report per closed quarter.

  1. Go to Staff → Payroll → Run Payroll → Payroll History → View All → Download reports.

  2. Select the following settings:

    • Report Type: Employee Totals (XLSX)

    • Pay Date Range: Run for each closed quarter:

      • Q1 (1/1–3/31)

      • Q2 (4/1–6/30)

      • Q3 (7/1–9/30)

    • Team Members: All Team Members

  3. Click Download.

2. Historical Payrolls for Open Quarter

Extract the reports for each payroll run in the open quarter.

  1. Go to Staff → Payroll → Run Payroll → Payroll History → View All → Download reports.

  2. Select the following settings:

    • Report Type: Paycheck Details (XLSX)

    • Pay Date Range: Run for each payroll separately. Use the check date for the start and end dates; the report will pull in the pay period for that check.

    • Team Members: All Team Members

  3. Reports will not have totals at the bottom. To obtain totals for balancing, complete the steps again but choose Company Totals instead of Employee Totals.

You will have two reports per payroll!

  • Paycheck Details

  • Company Totals

3. Company Tax Information

  1. Go to Staff → Payroll → Tax Info

  2. Screenshot to capture critical Tax IDs, and Rates

4. Tax Returns

  1. Go to Staff → Payroll → Tax forms.

  2. Open the Federal tab.

    • Preview and download each closed quarter’s Form 941 for the current year.

  3. Open the State tab.

    • Preview and download each closed quarter’s specific State UI and Withholding Forms for the current year. Forms will differ by state.

  • If starting in Q1, pull the prior quarter’s return (Q3 or Q4) to confirm tax information.

  • If starting mid-year, pull every closed quarter’s return in the current year.

Obtaining closed quarter(s) tax filings is required and will allows Salaris to tie out each quarter to ensure balancing with the transfer of historical data.

Tax documents serve dual purpose for setup:

  • Allows the tie out of closed quarters in the current year when importing the historical data.

  • Provides required information to complete the Tax Parameters.

Employee Demographics

Square does NOT have a report for Employee Demographics, Deductions, Withholdings, Direct deposit, Earning Rates, or Workplaces.

Employees will complete their own withholding and payment information in-app during onboarding.
