Timecards missed from a payroll

What to do when timecards are missed from a payrun.

There are a number of options available when a timecard, or other earnings, is missed from payroll.


Re-open the payroll

If the payroll submission deadline has not yet been reached, the payroll can still be re-opened. Once re-opened, choose the Reimport payroll option.

Note that reimporting payroll will effectively clear all previous data from the payroll, including any manual changes, so these will need to be applied again.

Ensure the payroll is re-submitted before the submission deadline.


Process an off-cycle payroll

Use this option if the missed payment needs to be issued immediately to the employee.

  • Create a new off-cycle payroll and include only the affected employee(s).

  • Enter the missed hours or earnings manually.

  • Approve the payroll and fund it as needed.


Combine with the next payroll

If the missed payment is not urgent, you can add the missed data to the next scheduled payroll manually.

Ensure the additional earnings are clearly documented to avoid confusion.


Important Considerations:

  • Tax implications: Ensure taxes are calculated and withheld correctly for the missed payment.

  • Employee communication: Notify the affected employee(s) about the correction and expected payment timeline.

  • Compliance: Record the correction accurately to maintain compliance with tax and labor laws.

Choose the option that best fits the urgency and compliance requirements of the situation.
