Add Timecards to a payroll

What to do when timecards are missed from a payroll or you want to manually add extra hours.

There are a number of options available when a timecard, or other earnings, is missed from payroll.

Manually Add Timecards

  1. Log into Salaris > Run payroll/Review payroll

  2. Click + Add Employee (scroll to bottom of list if timecards already exist)

  3. Select Employee name

  4. + New Earning > Hourly

    1. Description = <blank> optional

    2. Workplace = select default

    3. Earned Rate = select rate that matches role if set up previously

      1. If not rate, then enter hours and amount manually

    4. Hours = enter decimal value (amount will automatically calculate)

Timecards Missing because they weren't approved

Option 1 Reimport Timecards

If timecards are missing from payroll because they were not approved in the scheduler:

  1. Log into the scheduler > filter on pay period > ensure all timecards are approved

  2. Log into Salaris > confirm paryroll approval deadline has not passed

    1. re-open the payroll if already submitted

  3. Choose ⋮ > Reimport payroll

    1. Note that reimporting payroll will effectively clear all previous data from the payroll, including any manual changes, so these will need to be applied again

  4. Resubmit Payroll before payroll deadline

Option 2: Process an off-cycle payroll

Use this option if the missed payment needs to be issued immediately to the employee.

  • Create a new off-cycle payroll and include only the affected employee(s).

  • Enter the missed hours or earnings manually.

  • Approve the payroll and fund it as needed.

Combine with the next payroll

If the missed payment is not urgent, you can add the missed data to the next scheduled payroll manually.

Ensure the additional earnings are clearly documented to avoid confusion.

Important Considerations:

  • Tax implications: Ensure taxes are calculated and withheld correctly for the missed payment.

  • Employee communication: Notify the affected employee(s) about the correction and expected payment timeline.

  • Compliance: Record the correction accurately to maintain compliance with tax and labor laws.

Choose the option that best fits the urgency and compliance requirements of the situation.
