Paystubs

Learn how payroll admins can access, download and print employee paystubs/earnings statements in Salaris.

1. Download Paystubs

Paystub delivery requirements vary by state — some allow electronic delivery, others require printed copies. Confirm your state's requirements before choosing a distribution method.

Download paystubs from payroll history:

  1. Go to the Payroll history page

  2. Locate the payroll you want

  3. Click the ⋮ menu

  4. Select Download paystubs

Download paystubs from individual employee profile:

  1. Go to Employees and select the employee's name

  2. Click Paystubs to see their full paystub list

  3. Click Download next to any paystub to save a copy

Employee self-access: Employees can also view their own paystubs directly in the SocialSchedules or Workforce mobile app.


2. Understand a Paystub

Each paystub includes the following sections:

Pay Stub Element

Description

Company header

Company name, address, and phone number

Employee info (Pay summary)

Employee name and address

Pay period / pay date / total hours (Pay summary)

Pay period start and end dates, pay date, total hours worked

Net pay (Pay summary)

Take-home pay after all deductions — the amount deposited or issued by check/cash

Gross earnings (Pay summary total, detailed in Gross earnings table)

Total gross pay for the period, current and YTD; table breaks it out by Earning, Rate, Hours, Current, YTD Hours, YTD Earnings

Employee taxes withheld (Pay summary total, detailed in Taxes withheld table)

Mandatory taxes withheld, current and YTD; table breaks it out by Employee tax, Current, YTD (e.g., Federal income tax; State income tax (if applicable); Local tax (if applicable); Social Security tax (FICA); Medicare tax)

Employee benefits contributions (Pay summary total, detailed in Benefit contributions table)

Employer/employee contributions toward benefits, current and YTD; table breaks it out by Description, Contributor, Current, YTD (e.g., Health insurance; retirement plan contributions)

Post-tax deductions (Pay summary)

Amounts deducted after taxes are applied, current and YTD (e.g., Wage garnishments; union dues)

Reimbursements (Pay summary)

Reimbursements processed during the pay period, current and YTD (e.g., Mileage; supplies)

Note: Public holiday pay is folded into the Overtime total — it does not appear as its own line item.


Troubleshooting Paystubs

Which distribution method should I use? Paystub delivery rules differ by state. Some states permit electronic-only delivery; others require a printed copy be made available. Confirm your state's requirement, then use the bulk download (payroll run or payroll history) to produce printable PDFs, or direct employees to the mobile app for electronic access.

Employee says they can't find their paystub Point them to the SocialSchedules or Workforce mobile app. Admins can independently verify a paystub exists by checking the employee's profile under Employees > [name] > Paystubs.

A deduction or contribution I expect isn't showing Benefit contributions display as zero if no benefits apply to that employee for the period — this is expected, not an error.
