7shifts Payroll: Data Extraction Guide

Guide users to add 7shifts payroll access, extract data, and format files for setup.

This guide walks you through how to grant access to 7shifts, OR extract the required data so we can complete your setup successfully.

When migrating to Salaris Payroll, there are two options to migrate data. You may choose to:

  • Grant access to our payroll administrators or

  • Pull the required reports yourself

Option #1: Granting Access to 7shifts

Only the Account Owner can grant Admin access in 7shifts. If you are not the Account Owner, please ask them to complete these steps.

  1. Log in to the 7shifts web app as the Account Owner.

  2. Go to Team → Employees → +Add Employee and enter the information below:

  3. Open the Payroll Setup profile and select the Permissions tab.

  4. Change the user type to Admin.

  5. Review the warning that explains what Admin access includes.

  6. Select Save.

Our team will accept the invitation and take it from there.

Option #2: 7shifts Data Extraction

Pull the following reports from 7shifts:

  • Employee and Contractor Demographics (includes Earning Rates)

  • Employee Deductions

  • Employee Withholdings

  • Employee Social Security Numbers

  • Contractor Tax IDs

  • Payrolls for the Open Quarter (Payroll Journal and Payroll Summary)

  • Payrolls for Closed Quarters (one Payroll Summary for each quarter)

  • Company Tax Information

  • Tax Returns

Employee and Contractor Demographics

  1. In the left navigation bar, go to Reports → Employee Export.

  2. Set every filter to All:

    • Locations

    • Statuses

    • User Types

    • Roles

    • Departments

  3. Check the box Include all payroll data.

  4. Under View as, select CSV.

  5. Select Get Report.

This export includes earning rates and both active and inactive team members, including contractors. It does not include Social Security numbers, contractor Tax IDs or direct deposit details. Employees add their direct deposit details during Salaris onboarding.

Historical Payrolls: Payrolls for the Open Quarter

The open quarter is the current quarter that has not yet ended. You'll pull two reports for it: one we import, and one we use to check the totals.

Payroll Journal (for import)

  1. Go to Payroll and select the Reports tab.

  2. Select Payroll Journal as the report type.

  3. Set the date range to the current quarter.

  4. Select Download CSV.

Payroll Summary (for validation)

  1. Go to Payroll and select the Reports tab.

  2. Select Payroll Summary as the report type.

  3. Set the same date range (the current quarter).

  4. Select Download CSV.

Note: 7shifts reports go by pay date (the day the payroll was paid), not the pay period. A payroll is included when its pay date falls inside the date range. Both reports include contractor payments.

Historical Payrolls: Payrolls for Closed Quarters

Please extract one report per closed quarter.

  1. Go to Payroll and select the Reports tab.

  2. Select Payroll Summary as the report type.

  3. Set the date range for each quarter:

    • Q1 (1/1–3/31)

    • Q2 (4/1–6/30)

    • Q3 (7/1–9/30)

  4. Select Download CSV.

  5. Repeat for each closed quarter.

Company Tax Information

Federal EIN

  1. Go to Settings → Company Settings → Business Entities.

  2. Take a screenshot showing your EIN.

State Tax IDs and Rates

  1. Go to Payroll and select the Business Settings tab.

  2. Under Taxes setup, select Update tax setup.

  3. Take screenshots of each state's withholding and unemployment account IDs and rates. You don't need to change anything here.

Tax Returns

  1. Go to Payroll and select the Taxes tab.

  2. Download the available quarterly filings.

    • If starting in Q1, pull the prior quarter's return (Q3 or Q4) to confirm tax information.

    • If starting mid-year, pull every closed quarter's return in the current year.

🚨Obtaining closed quarter tax filings is required. It allows Salaris to tie out each quarter to ensure balancing with the transfer of historical data.

Tax documents serve a dual purpose for setup:

  • Allows the tie out of closed quarters in the current year when importing the historical data.

  • Provides required information to complete the Tax Parameters.

Cancelling 7shifts Payroll

🚨Important: Cancellation takes effect immediately and can't be scheduled for a later date. Once it's confirmed, you can no longer run payroll or pay employees in 7shifts.

When to cancel

  • Not before data migration is complete. Please wait until our team confirms that your data migration is finished. You will lose payroll access as soon as you cancel.

  • Within 2 business days before your first Salaris payroll. Cancel in the 2 business days before you're expected to run your first payroll with Salaris.

  • After your final 7shifts payroll is Paid. Make sure your last 7shifts payroll shows the status Paid before cancelling.
